These Beta Terms form an agreement between you or your organisation and Neil Ratcliffe, trading as BeeBlu ("BeeBlu", "we", "us" or "our") for access to and use of BeeBlu OS during the beta period.
By creating an account or accepting an invitation to use BeeBlu OS, you confirm that you have read, understood and agreed to these Beta Terms. If you are accepting on behalf of an organisation, you confirm you have authority to do so.
1. Who can use BeeBlu OS
BeeBlu OS is a business service for professional teams and organisations. You must be at least 18 years old to use it.
BeeBlu OS is currently in beta and is provided free of charge. No charge will be applied to your account without your agreement to separate paid terms.
2. What BeeBlu OS is
BeeBlu OS is a brand-management platform that allows teams to organise design systems, distribute role-aware brand portals to internal and external audiences, manage collaborator access, generate structured brand exports, and connect brand context to developer and AI workflows.
BeeBlu OS is in beta. Features may be incomplete, changed, restricted or removed at any time. We will try to give reasonable notice of significant changes where practicable, but cannot guarantee this during the beta period.
3. Free beta and future pricing
BeeBlu OS is currently free to use. We do not charge subscription fees, usage fees or any other fees under these Beta Terms.
We may introduce paid plans in the future. Before we charge you, we will present separate terms describing the pricing model and any changes to the service. No charge will be applied without your agreement to those paid terms.
4. Accounts and security
You are responsible for keeping your login credentials secure and for all activity under your account.
You are responsible for ensuring that anyone you invite to your workspace is authorised by you to access it and agrees to comply with these Beta Terms.

5. Acceptable use
You must not use BeeBlu OS:
- to store, transmit or publish material that is unlawful, harmful, defamatory, infringing or fraudulent;
- to interfere with or disrupt the platform, its infrastructure or other users;
- to attempt to gain unauthorised access to any part of the platform or any connected system;
- to use automated tools to extract content other than through official API or export functionality we provide;
- in a way that violates applicable law or regulation.
You are responsible for ensuring that content made available through your public portals complies with this section and applicable law. Brand owners should not publish personal or confidential material through publicly accessible portals or endpoints.
6. Your content
You and your organisation own the brand assets, design content, tokens and other materials you upload or create within BeeBlu OS.
By using BeeBlu OS, you grant us a limited, non-exclusive licence to host, process, reproduce, display, transform and distribute your content solely to the extent necessary to provide the service to you, including making portal content available to the recipients you designate.
You are responsible for retaining your own copies of important content. BeeBlu OS is a beta service and errors, interruptions or data loss may occur. We do not guarantee that content can always be recovered.
7. Public portals, shared links and external access
BeeBlu allows you to publish brand portals that are accessible without a sign-in. You decide what information is published. We are not responsible for how recipients use content you choose to make public.
If you expose brand context through a public endpoint, you are responsible for ensuring that only content you intend to make public is included.
8. Third-party integrations
BeeBlu integrates with third-party tools including Figma, Supabase, SendGrid and YouTube. Those integrations are governed by the respective provider's terms and privacy policies. We are not responsible for the availability, accuracy or behaviour of third-party services.
9. AI and automated workflows
BeeBlu can expose structured brand context to AI tools and automated workflows. You are responsible for reviewing any AI-generated output before use and for ensuring it meets your quality and compliance requirements.
We are not responsible for inaccuracies in AI-generated content or for how third-party AI tools process or use information provided to them.
10. BeeBlu's intellectual property
We own (or are licensed to use) all rights in the BeeBlu OS platform, its software, documentation and branding. These Beta Terms do not transfer any of those rights to you.
11. Confidentiality
Each party may receive confidential information from the other. Each party agrees to use confidential information only to exercise its rights and perform its obligations under these Beta Terms, and to take reasonable steps to protect it from unauthorised disclosure.
This obligation does not apply to information that is or becomes publicly available other than through a breach of this section, or that was lawfully known before receipt.
12. Data protection
Our Privacy Notice explains how we collect and use personal information as a data controller.
Where you store personal information about others in your BeeBlu workspace and we process that information on your behalf, we act as a data processor. Our data-processing obligations are set out in the Data-Processing Schedule at the end of these Beta Terms.
13. Service availability
BeeBlu OS is provided on an "as available" basis during the beta period. We do not guarantee any particular level of uptime, performance or availability.
Errors, interruptions, data loss and service outages may occur. We will try to resolve serious problems promptly but make no commitment on response times during the beta.
14. Suspension and termination
We may suspend or close your account if you breach these Beta Terms, if we reasonably believe your use creates a security or legal risk, or if we discontinue the beta service.
You may close your account at any time by contacting us at hello@beeblu.com. Before closing your account, you should export any content you wish to keep.
On account closure or termination, you will lose access to your workspace and its contents. We may retain copies of your content for a limited period for backup and operational purposes, after which it will be deleted in accordance with our retention practices.
15. Warranty disclaimer
BeeBlu OS is provided during the beta period without warranty of any kind. We do not warrant that the platform will be error-free, uninterrupted, secure or fit for any particular purpose. You use it at your own risk.
16. Limitation of liability
To the fullest extent permitted by law, we will not be liable for: any loss of data, revenue, profit, business or reputation; any indirect or consequential loss; or any loss arising from your reliance on beta features or the unavailability of the service.
Given that BeeBlu OS is currently a free beta service, our total liability to you arising under or in connection with these Beta Terms (other than for the matters described below) will not exceed £100.
Nothing in these Beta Terms limits our liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.
17. Changes to these terms
We may update these Beta Terms from time to time. We will give reasonable notice of material changes. Continued use of BeeBlu OS after the effective date of any update constitutes acceptance of the revised terms.
18. Governing law
These Beta Terms are governed by the laws of England and Wales. Disputes arising under them are subject to the exclusive jurisdiction of the courts of England and Wales.
19. Contact
Data-Processing Schedule
This schedule applies when BeeBlu processes personal information that you have stored in your BeeBlu workspace on your behalf.
Roles
For the purposes of this schedule, you are the controller and BeeBlu is the processor.
Instructions
We will process personal information only on your documented instructions, unless required to do otherwise by law.
Confidentiality
We will ensure that personnel who access personal information are subject to appropriate confidentiality obligations.
Security
We will apply reasonable technical and organisational measures to protect personal information, proportionate to the nature of a free beta service.
Sub-processors
We use Vercel, Supabase and SendGrid as sub-processors for hosting, database and email delivery. By using BeeBlu OS, you authorise the use of these sub-processors. We will inform you of any material changes to this list.
International transfers
Sub-processors may transfer personal information outside the United Kingdom. We use providers who operate under appropriate transfer safeguards as required by UK data-protection law.
Assistance with data-subject requests
We will provide reasonable assistance to help you respond to data-subject requests under applicable data-protection law, to the extent we can do so using data held in the platform.
Security incidents
We will notify you without undue delay if we become aware of a personal-data breach affecting information stored in your workspace.
Deletion or return
On closure of your account or on written request, we will delete or make available for export personal information held in your workspace within a reasonable period, subject to any legal retention obligations.
Compliance information
We will provide reasonable information to support your compliance monitoring obligations under applicable data-protection law.
