Who operates BeeBlu
BeeBlu OS and this website are operated by Neil Ratcliffe, trading as BeeBlu ("BeeBlu", "we", "us" or "our"). We are based in the United Kingdom.

Controller and processor roles
When we collect and use information directly — for account management, security, support and service operation — we act as the data controller.
When you upload or store content and personal information within your BeeBlu workspace, we act as a data processor on your instructions. Our obligations in that capacity are set out in the Data-Processing Schedule within the Beta Terms.
What information we collect
- Account and profile information — your name, work email address, company or organisation name, and any profile details you provide when creating or managing your account.
- Organisation and workspace data — brand-system content, design tokens, assets, team structures, portal configurations and export history that you and your team create and store within BeeBlu.
- Invitation and portal information — email addresses of team members and external collaborators you invite, portal-role assignments, invitation status, and portal-access records.
- Form submissions — contact details and other information you submit through our demo or early-access forms.
- Correspondence — messages exchanged through support or enquiry interactions.
- Technical and security data — IP addresses, device and browser information, access logs and error records needed to operate and secure the platform.
BeeBlu OS is currently a free beta service. We do not collect payment card details or operate a payment system.
Why we use it
We process personal information for the following purposes and on the following lawful bases under UK data-protection law.
- Creating and managing your account
- Performance of a contract with you.
- Providing, operating and improving BeeBlu OS
- Performance of a contract; legitimate interests.
- Sending account-related and service communications
- Performance of a contract.
- Sending portal invitations to people you designate
- Performance of a contract.
- Responding to form enquiries
- Legitimate interests.
- Detecting, preventing and investigating fraud, abuse or security incidents
- Legitimate interests.
- Maintaining operational and security logs
- Legitimate interests.
Service providers
We share information with the following categories of service provider. We do not sell personal information.
- Hosting and infrastructure — Vercel hosts the marketing website. Supabase provides the application database, authentication and file storage.
- Transactional email — SendGrid sends account confirmations, portal invitations and service notifications.
- Forms — Tally collects demo and early-access enquiries submitted through this site.
- Typography — Google Fonts supplies the typefaces used on this site. Your browser makes a request to Google's servers when pages load, which may include your IP address and device information.
- Video — YouTube (via the privacy-enhanced
youtube-nocookie.comdomain) provides the introduction video. It loads only when you choose to play the video. YouTube may receive device and connection information at that point. - Design integration — Figma, when you choose to connect a Figma integration to your workspace.
We do not use analytics services or advertising pixels on this website.
International transfers
Our service providers operate primarily in the United States. Where personal information is transferred outside the United Kingdom, we rely on appropriate safeguards as required by UK data-protection law, including standard contractual clauses or equivalent mechanisms.
Public portals and AI context
BeeBlu allows you to publish role-aware brand portals that are accessible to recipients without a sign-in. You decide what information is published through those portals and any public brand-context endpoints. Brand owners should not publish personal or confidential material through publicly accessible portals or endpoints.
Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet security, legal and operational requirements.
Security
We use reasonable technical and organisational measures to protect personal information. BeeBlu OS is currently a free beta service and does not carry an uptime or security guarantee. You should retain your own copies of important content.
Your rights
If you are in the United Kingdom, UK data-protection law may give you the following rights:
- Access — to request a copy of the personal information we hold about you.
- Correction — to ask us to correct inaccurate information.
- Deletion — to ask us to delete personal information in certain circumstances.
- Restriction — to ask us to restrict processing in certain circumstances.
- Objection — to object to processing based on legitimate interests.
- Portability — to receive information you have provided in a machine-readable format, where applicable.

Cookies and browser storage
BeeBlu uses browser storage as part of account authentication and to manage role-based portal access. Our Cookie Policy explains what we use and why.
Marketing communications
We do not currently send marketing emails. If we do so in the future, we will provide a clear way to opt out.
Business service
BeeBlu OS is a business service intended for professional use. Users must be at least 18 years old.
Changes to this notice
We may update this notice from time to time. Material changes will be communicated through the platform or by email. The current version and effective date appear at the top of this page.
